# Team Roles & Collaboration

How team access and collaboration work in SellerMagnet: the Team settings tab for inviting teammates by email and assigning roles, project roles and what each can do, and redeeming access codes for yo

## 📋 Overview

SellerMagnet organizes your data into a **project** (your workspace). A project holds your Amazon connections, settings, historical data, and tool configurations. This page explains how access to that workspace works: the **Team** settings tab for inviting teammates and assigning roles, what each role can do, and how to **redeem an access code** for your plan.

**Team management is a gradually rolling-out feature.** The **Team** tab appears in **Settings** when it is enabled for your account. If you don't see it yet, the "one account per person, same Amazon connection" approach described below still works and is fully supported in the meantime.

## 👥 How Workspace Access Works Today

Each SellerMagnet login is an individual account with its own email, password, and two-factor authentication (2FA). A workspace (project) is owned by the account that created it.

| ----------------------- | -------------------------------------------------------------------------------------------- |
| **Account**             | Your personal login (email + password + optional 2FA). Managed in **Settings > My Account**. |
| **Project (workspace)** | The container for your connections, data, settings, and tools.                               |
| **Owner**               | The account that created the project. The owner has full control of the workspace.           |

### Sharing access without the Team tab

If the **Team** tab isn't enabled for your account yet, a colleague can still work in the same data using this approach:

1. Each team member creates **their own SellerMagnet account** (their own email, password, and 2FA).
2. The accounts connect to the **same Amazon Seller Central account** so everyone sees the same orders, products, and analytics.
3. Each person manages their own login and security independently.

This gives every person their own credentials and their own 2FA, rather than sharing one password. Sharing a single login across people is discouraged - there is no audit trail and it weakens account security.

## 🧩 Project Roles

Every project has an **owner** (the account that created it), and teammates you add are assigned one of three roles. The owner always has full Admin control.

| Role          | What they can do                                                                                            |
| ------------- | ----------------------------------------------------------------------------------------------------------- |
| **Admin**     | Full control: manage billing, the team, and connections, plus every tool.                                   |
| **Member**    | Day-to-day use of all tools and data in the workspace.                                                      |
| **View only** | Can look at dashboards and reports, but cannot change anything - actions that would write data are blocked. |

The project owner is always treated as an Admin and cannot have that removed. Sensitive actions - billing, checkout, team management, and connection changes - require at least the Member role, and Admin for team and billing management, so a View-only teammate can browse the workspace without being able to alter it.

## 🧑‍🤝‍🧑 The Team Settings Tab

When the **Team** tab is enabled for your account, you'll find it in **Settings** alongside My Account. It has three parts: your current members, any pending invites, and the invite form. Only project **Admins** can make changes here - a Member or View-only teammate sees the team but the management controls are hidden.

### Inviting a teammate

1. Open **Settings > Team**.
2. In the **Invite someone** card, type the person's email address.
3. Pick a role from the dropdown - **Member**, **View only**, or **Admin**.
4. Click **Send invite**.

| Situation                                        | What happens                                            |
| ------------------------------------------------ | ------------------------------------------------------- |
| The email already belongs to a SellerMagnet user | They are added to the project immediately.              |
| The email is not yet a SellerMagnet user         | They receive an email invitation, valid for **7 days**. |

**Roles in the dropdown:** Admins manage billing, team, and connections; Members use all the tools; View-only members can look but not change anything. Pick the least-privileged role that still lets the person do their job.

### Team members and pending invites

| Card                | What it shows                                                                                                            | Admin controls                                 |

| **Team members**    | Everyone with access to the project, with their role. The owner is tagged **Owner**, and your own row is tagged **You**. | **Remove** a member (asks **Confirm?** first). |
| **Pending invites** | Email invitations that haven't been accepted yet, with an **Expires** date.                                              | **Revoke** an invite before it is accepted.    |

Removing a member or revoking an invite takes effect immediately. A removed teammate loses access to the project at once; a revoked invite link stops working. Both actions ask you to confirm first.

## 🎟️ Redeeming an Access Code

The one collaboration- and access-related action you **can** perform yourself today is **redeeming an access code** (also called a redemption code). SellerMagnet may issue a code as part of a promotion, an onboarding offer, or a win-back campaign.

### What a code does

A valid code adds plan or tool access to your **current project** - for example, extending your access or unlocking a specific tool for a period of time. The exact effect depends on the campaign the code belongs to.

**Codes are issued by SellerMagnet.** You cannot generate codes yourself - they are created and distributed by the SellerMagnet team (for example, by your account manager or via a promotion). Your side of the flow is simply entering a code you have received.

### Where to enter a code

1. Open **Manage Billing** from the dashboard (the billing area of your account).
2. Find the **Redeem a code** card.
3. Type or paste your code. Codes use the format `SM-XXXXX-XXXXX-XXXXX-XXXXX`.
4. Confirm. If the code is valid, the matching access is applied to your current project and a confirmation is shown.

You may also reach the redeem field directly from the **Plans** page if your subscription has expired - this lets a win-back code restore access without going through a new checkout first.

### Code format and behavior

| **Where applied**        | Your **current project** - switch to the right project first if you manage several |
| **Result**               | Adds plan/tool access per the campaign; a success message lists what was added     |
| **Invalid / used codes** | Rejected with a clear message; no charge and nothing is changed                    |

A code applies to whichever project is **currently active** in your dashboard. If you manage multiple projects, make sure the correct one is selected (via the connection/project selector) before redeeming.

To avoid confusion, here is the clear line between what is **yours** and what is **internal to SellerMagnet**:

## ✅ Best Practices

1. **One account per person.** Give every colleague their own login rather than sharing one - it is safer and keeps a clean trail.
2. **Enable 2FA everywhere.** Each account should have its own two-factor authentication enabled (Settings > My Account > Security).
3. **Select the right project before redeeming.** Access codes apply to the active project only.
4. **Keep codes private.** Treat an access code like a coupon - anyone with it can redeem it.

## ❓ FAQ

<summary><strong>Can I invite a teammate by email from Settings?</strong></summary>

Yes, when the **Team** tab is enabled for your account. Open **Settings > Team**, enter the person's email in the **Invite someone** card, choose a role, and click **Send invite**. Existing SellerMagnet users are added immediately; everyone else gets an email invitation valid for 7 days. If you don't see the Team tab yet, have each teammate create their own account and connect it to the same Amazon Seller Central account in the meantime.

<summary><strong>How do I give someone view-only access?</strong></summary>

Invite them (or change their role) with the **View only** role in **Settings > Team**. A View-only teammate can browse dashboards and reports but cannot change anything - actions that would write data are blocked. A code can be rejected because it was mistyped, has expired, was already redeemed, or was revoked. Re-check the characters (codes are uppercase), make sure the correct project is active, and contact support at <info@sellermagnet.com> if a code you were given still will not apply.

<summary><strong>Does redeeming a code charge my card?</strong></summary>

No. Redeeming a code applies access directly to your project. It does not start a charge by itself. (If you later choose a paid plan through normal checkout, that is a separate, clearly-confirmed step.)

We strongly recommend against it. Shared logins remove any audit trail and weaken security. Each person should use their own account with their own 2FA.
